Privacy Policy

TU/e and the other members of the INTERSECT public private partnership value your privacy. This Privacy Policy applies to all information collected or submitted on our Site or Affiliated Sites. It covers how we treat Personal Information that we collect and receive.

Personal Information is defined slightly differently across the world. To guarantee your privacy and the protection of your information, we define it as any information that could be used to identify you or another individual. Personal Information is information about you that is personally identifiable such as your name, address, e-mail address, or phone number, and that is not otherwise publicly available. This Privacy Policy tells you what to expect when we collect Personal Information.

We are not interested in collecting every personal detail about you. Our main reason for collecting your Personal Information is to achieve our Purpose and provide you with the information that you expect from us. 

We collect Personal Information about you in a number of different ways. In this section, we explain the different ways we collect Personal Information about you and the ways in which that information will be used. When you browse our Site you do so anonymously as we do not automatically collect Personal Information. 

This Site collects limited amount of Personal Information. On some pages, you can register to receive our newsletter or request information. The types of Personal Information collected at these pages are: e-mail address, name, and professional affiliation.

How will your Personal Information be used and shared?

The Personal Information we collect allows us to: provide you with the information in line with our Purpose; meet legal,  regulatory and compliance requirements; communicate with you; investigate any complaints about this Site; and contact you about our research and events which we think might be of interest to you. We may share your Personal Information with our offices for the above purposes. We may employ the services of third party service providers to help us in certain areas, such as website hosting and maintenance. In some cases the third party may receive your information. However, at all times, we will control and be responsible for the use of your information.

How long do we keep your Personal Information?

We will only retain your Personal Information for as long as necessary to fulfil the Purpose we collected it for, including for the purposes of satisfying any legal requirements. To determine the appropriate retention period for the Personal Information we hold, we consider the amount, nature and sensitivity of the Personal Information, the risk of harm from unauthorised use or disclosure of your Personal Information, the reasons why we handle your Personal Information and whether we can achieve those purposes through other means, and the applicable legal requirements.

Your rights

Under data protection laws, such as the GDPR, you have rights as an individual which you can exercise in relation to the information we hold about you. A summary of your rights is set out below.

  • Right of access – You are entitled receive confirmation as to whether your Personal Information is being processed by us, as well as various other information relating to our use of your Personal Information. You also have the right to access your Personal Information which we are handling.
  • Right to rectification – You have the right to require us to rectify any inaccurate Personal Information we hold about you. You also have the right to have incomplete Personal Information we hold about you completed, by providing a supplementary statement to us.
  • Right to restriction – You can restrict our processing of your Personal Information where: you think we hold inaccurate Personal Information about you; our handling of your Personal Information breaks the law, but you do not want us to delete it; we no longer need to process your Personal Information, but you want us to keep it for legal reasons; or where we are handling your Personal Information because we have a legitimate interest, and are in the process of objecting to this use of your Personal Information. Where you exercise your right to restrict us from using your Personal Information, we will then only process your Personal Information when you agree, except for storage purposes and to handle legal claims.
  • Right to data portability – You have the right to receive your Personal Information in a structured, standard machine readable format and to send this to another organisation controlling your Personal Information. This right only applies to your Personal Information we are handling because you consented to us using it or because there is a contract in place between us.
  • Right to erasure – You have the right to require us to erase your Personal Information which we are handling in the following circumstances: where we no longer need to use your Personal Information for the reasons we told you we collected it for; where we needed your consent to use your Personal Information, you have withdrawn your consent and there is no other lawful way we can continue to use your Personal Information; when you object to our use of your Personal Information and we have no compelling reason to carry on handling it; if our handling of your Personal Information has broken the law; and when we must erase your Personal Information to comply with a law we are subject to.

We try to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.

Responsible Disclosure Policy

The security of this Site and its Affiliated Sites is for us very important. Despite our concern for the security, weak points can still remain. Have you found such a weak point? Let us know. Doing so is called ‘responsible disclosure’. Have you discovered a security flaw in this Site or one of its Affiliated Sites? Weak points can be discovered in two ways: you can accidently come upon something during the normal use of a digital environment, or you can explicitly do your best to find them. Please notify us before informing the outside world, so that we can first take action as quickly as possible. We always take your report seriously and scrutinize any suspicion of a vulnerability. We are happy to work with you to make the security of this website even better. This is not an invitation to extensively scan and test this Site or its Affiliated Sites to find weak points. We do that ourselves.

What to do?
Mail your findings as soon as possible to info@INTERSCT.nl. Provide sufficient information so that we can reproduce the problem in order to solve it quickly. Usually the IP address or the URL and a description of the vulnerability are sufficient. More information may be required for more complex vulnerabilities.

Please do no test in advance that makes use of attacks on physical security, social engineering or third-party applications. Please do not use brute force or denial of service. Please do not abuse the vulnerability by changing or removing data or by placing malware. Please do not share the problem with others until we have solved it. Please do not copy any data from our systems, other than absolutely necessary to demonstrate the leak. Provide us with contact details so that we can contact you to work together towards a secure result.

What we promise?
We will respond to your report within three working days, with our evaluation of the report and, if possible, an expected resolution date. When you report the weak point, check that you comply with the conditions described above. If you do so, we will not attach any legal consequences to your notification. We will handle your report confidentially, and will not share your personal information with third parties without your permission. An exception to this is the police and judiciary in the event of prosecution or if information is demanded. We will keep you informed of our progress to resolve the problem.

Professional Integrity

TU/e and the other members of the INTERSECT public private partnership place great importance on a number of core values. The scientific independence and integrity of science professionals are key priorities. We also highly values transparency and integrity in business relationships. As an organization, we regard it as important for professionals and students to act with integrity in the areas of research, knowledge transfer and education. This is not self‑evident and must be promoted actively. That is why we commit ourselves to codes of conduct and regulations that provide guidance for working and studying in the context of the INTERSECT public private partnership and the INTERSCT. stakeholder engagement network. All science professionals working in the context of the this partnership or the network shall be working in accordance with the 2018 edition of the Netherlands Code of Conduct for Research Integrity as endorsed by the association of Dutch universities, VSNU.

Data Management

TU/e and the other members of the INTERSECT public private partnership place great importance on a number of core values.

For the R&D and (technological) innovation, there is a specific Data Management Plan (approved by the Dutch National Research Council) and for the Research Data Management we use a combination of:

  • SURF SURFdrive, which is a personal cloud storage service for Dutch education and research. It makes it easy for our researchers to synchronise files and share them with other users. Secure within a community cloud and with a large amount of storage space. With SURFdrive, SURF complies with Dutch and European privacy legislation. SURFdrive guarantees safe use, whereby our researchers remain the owner of their own data. The data is stored securely in the Netherlands and is never passed on to third parties. In addition, SURF does not provide any user data to third parties. The data is always sent encrypted over the networks.
  • SURF Research Drive, which is a cloud-based shared-storage environment that we use for our collaborative R&D with variuos educational and governmental institutions as well as with external private parties. SURF complies with Dutch and European privacy legislation. The data is stored securely in the Netherlands and is never passed on to third parties. In addition, SURF does not provide any user data to third parties. The data is always sent encrypted over the networks.
  • 4TU.ResearchData, which is a facility for the long-term storage, sharing and publishing of our research data in line with the FAIR principles.
